Privacy Policy

This policy explains what personal data CheckMySEOGuy collects, why we collect it, who we share it with, and the rights you have over it.

1. Who we are

CheckMySEOGuy ("we", "us", "our") is the service operated at checkmyseoguy.com. We are the data controller for the personal data described in this policy.

You can reach us about your personal data at privacy@checkmyseoguy.com, and about anything else at support@checkmyseoguy.com. These are the contact details for the controller, and we monitor both.

2. Our role: when we are controller, and when we are processor

Data protection law distinguishes between a controller (who decides why and how personal data is used) and a processor (who processes it on someone else's instructions). Our role depends on which data we are talking about.

Where we are the controller

We act as controller for the personal data we collect for our own purposes in running the service, including:

• your email address and any contact details you give us;
• the information you enter in the submission form about you and your business, including your website and business context;
• usage analytics;
• IP address, device and security-related data; and
• your communications with us.

Where we are generally the processor

The documents you upload may contain personal data about other people — employees, contractors, agency representatives or other third parties. Where you upload that material as a business customer, and we process it only to provide the service you have asked for on your instructions:

• you (the customer) will generally be the controller of that personal data; and
• we will generally act as processor on your behalf.

Where we act as processor, we process that personal data:

• on your documented instructions;
• only to provide and support the service;
• subject to appropriate confidentiality and security obligations;
• using the authorised subprocessors listed in section 6; and
• under a Data Processing Agreement where one is required — see section 13.

Because you decide what to upload, you are responsible for having a lawful basis for sharing that material with us, and for any notices or permissions your own obligations require. Our Terms and Conditions set out the confirmations you give us when you upload.

3. What we collect

Information you give us

• Your email address. Required, so we can verify your request and send you your report.
• Your name, if you choose to provide it. Optional.
• Your website address. Required, so the analysis relates to the right business.
• Business context you choose to share: your niche, country, revenue range, how long you have worked with your agency, your monthly SEO budget, your goals, and any concerns you describe in your own words. All optional.
• Whether you indicated you would be willing to share Google Search Console access. This is recorded as a preference only; we do not connect to Search Console.
• Your email preference, i.e. whether you want to receive your report by email.

Documents you upload

You upload SEO reports and related files (PDF, DOCX, PNG or JPG). These are the core of the service. They frequently contain confidential or commercially sensitive information about your business or your agency, and may contain personal data about other people. We extract the text and, for images, generate a text transcription, so the analysis can run. See section 2 for who is controller of that material.

Information we collect automatically

• Technical and usage data: IP address, browser and device information, pages viewed, and actions taken on the site.
• Delivery data: records of the emails we send you and whether sending succeeded.
• Diagnostic data: error reports when something goes wrong.

4. Why we use it, and our legal basis

The table below applies to personal data for which we are the controller (section 2).

Where we rely on legitimate interests, we have considered the impact on you, and you have the right to object — see Your rights.

For personal data contained in the documents you upload, where we act as processor, the customer who uploaded the material is responsible for determining the lawful basis for that processing. We process it on documented instructions in order to provide the service, and we do not decide the purposes for which it is used.

5. How we use AI

This is the part worth reading carefully. Your report is generated by AI, and producing it means sending your content to AI providers.

• Text extracted from your uploaded documents, together with the business context you provided, is sent to Anthropic (the Claude API) to generate the analysis.
• Images and screenshots you upload may be sent to Google (the Gemini API) to transcribe the text they contain, so it can be analysed.
• We use business and API services configured so that, under our applicable agreements with those providers, your content is not used to train their general-purpose models.
• No human at CheckMySEOGuy reviews your report before it reaches you. The report is produced automatically. It can contain mistakes, and it is not professional advice — see our Terms and Conditions.

Because your documents leave our systems to be analysed, please do not upload anything you are not permitted to share, and remove material you consider especially sensitive before uploading.

6. Service providers

We do not sell personal data, and we do not share it with advertisers or data brokers. We currently use the following service providers to operate the service:

Providers that process personal data on our behalf are subject to appropriate contractual, confidentiality and data protection obligations.

Our providers may change as the service develops. Where applicable law or our contractual obligations require it, we will give notice of material changes to the subprocessors used for customer data.

We may also disclose personal data where we are legally required to, or to establish or defend legal claims. If our business is sold or reorganised, data may transfer to the buyer, who would remain bound by this policy or give you notice of any change.

7. International transfers

Our providers may process data outside your country, including in the United States. Where personal data is transferred outside the UK or European Economic Area and a transfer mechanism is required, we rely on an appropriate safeguard recognised under applicable law — such as an adequacy decision, the European Commission's Standard Contractual Clauses, the UK Addendum or International Data Transfer Agreement, or another lawful transfer mechanism.

You can request information about the safeguards that apply to a particular transfer by emailing privacy@checkmyseoguy.com.

8. How long we keep it

Our standard service retention periods are:

• Uploaded documents and extracted text are deleted 12 months after your report is generated.
• Generated reports are retained for 12 months, after which the report and its download link stop working.
• Incomplete submissions — where you started the form but never completed the upload — are deleted after 24 days.
• Account and contact data, and records we need for legal, accounting or dispute-related reasons, are kept for as long as required and then deleted.

You can ask us to delete your data sooner, at any time, and we will do so within 30 days unless we are legally required to keep it.

Deleted data may remain in encrypted backups for a short period until the normal backup cycle overwrites them. It is not used for any purpose while it remains there.

Where we act as processor for personal data inside uploaded documents, we delete or return that data in accordance with the applicable agreement and the customer's instructions, unless we are required by law to retain it.

9. Your rights

If you are in the UK or the European Economic Area, you have the right to:

• access the personal data we hold about you;
• have inaccurate data corrected;
• have your data deleted;
• restrict or object to how we use it;
• receive the data you gave us in a portable, machine-readable form; and
• withdraw consent at any time, where we relied on consent, without affecting processing that already happened.

To exercise any of these, email privacy@checkmyseoguy.com. We aim to respond within one month. Where the law allows, that period may be extended — for example where a request is complex or you have made a number of requests — and we will tell you if that happens. Requests are normally free, though we may charge a reasonable fee or decline to act where a request is manifestly unfounded or excessive, to the extent the law permits. Some rights do not apply in every situation, and we will explain if an exception applies to your request.

If your request relates to personal data inside a document uploaded by a business customer, we may need to refer you to that customer, who is the controller for that data. We will help them respond.

If you think we have handled your data badly, please tell us first so we can put it right. You also have the right to complain to your data protection regulator — in the UK, the Information Commissioner's Office (ico.org.uk); in the EEA, your national supervisory authority.

10. Security, and how report links work

We use encryption in transit, access controls, and storage that is private by default: uploaded files and generated PDFs are not publicly listed and are served through signed, time-limited links.

Please treat your report link as confidential. Your report is reached through a restricted link that is not intended to be discoverable, and it is not separately protected by a password. Anyone who obtains a valid report link may be able to open the report, so avoid forwarding it more widely than you intend.

No service can guarantee perfect security. If a breach affects your rights, we will notify you and the relevant regulator as the law requires.

11. Cookies and similar technologies

We do not use advertising or tracking cookies, and our analytics do not store cookies or other identifiers on your device. That is why you are not asked to accept cookies when you use the service.

We use:

• Necessary browser storage, which the service needs in order to work — for example, holding your submission reference in your browser while you complete the upload flow and check your status. This is not used for analytics or advertising.
• Analytics (PostHog), configured so that no identifier is stored on your device. It records information such as the pages you view and the actions you take during a single visit, together with technical information sent by your browser such as browser type, operating system and IP address. We use it to understand how the service is used and improve it, not to build advertising profiles or track you across other websites.

You can object to our use of analytics data at any time by emailing privacy@checkmyseoguy.com — see Your rights. You can also block or delete browser storage in your browser settings, though blocking necessary storage may stop the upload flow from working.

12. Children

This service is for businesses and is not directed at children. We do not knowingly collect personal data from anyone under 16. If you believe a child has provided us with personal data, email privacy@checkmyseoguy.com and we will delete it.

13. Data Processing Agreement

Where we act as processor for a business customer (section 2) and a Data Processing Agreement is required under applicable data protection law, we will enter into one with that customer. Business customers can request a DPA by emailing privacy@checkmyseoguy.com.

14. Changes to this policy

We may update this policy as the service changes. We will update the date at the top, and if a change materially affects your rights we will take reasonable steps to tell you.

If you are not satisfied with how we have handled your personal data, you can complain to your local data protection authority. We would rather you told us first, so we get a chance to put it right.
